Using the auraScribe Zoom integration

The auraScribe Zoom integration lets a signed-in auraScribe user connect their Zoom account, import Zoom Cloud Recordings, and optionally ask Zoom to start cloud recording for hosted meetings.

Prerequisites

  • An active auraScribe account.
  • A Zoom account that can authorize Marketplace apps.
  • Zoom Cloud Recording must be available on your Zoom plan (Zoom Pro or higher) to import cloud recordings or use automatic cloud recording.
  • Zoom Cloud Transcription is recommended for the fastest end-to-end experience, but it is not required. See Usage below for the audio-only path.
  • The meeting host is responsible for obtaining any required participant consent before recording.

Adding the App

Option 1: From the Zoom App Marketplace

  1. Visit the auraScribe listing on the Zoom App Marketplace.
  2. Select Add.
  3. Zoom shows the requested permissions. Review them and approve the connection.
  4. You are redirected back to auraScribe. If you are not already signed in, you are prompted to sign in first, then returned to the integration screen.
  5. Confirm the Zoom card shows Connected.

Option 2: From auraScribe

You can start the same flow directly from auraScribe. The canonical entry point is the direct landing URL https://aurascribe.co/integrations/zoom, which forwards you to Account settings → Integrations → Zoom (with that section focused). Unauthenticated users are sent through sign-in first and then returned to the same destination.

  1. Open aurascribe.co/integrations/zoom (or navigate to Account settings → Integrations → Zoom).
  2. Sign in if prompted.
  3. Select Connect Zoom.
  4. Zoom opens an authorization screen. Review the requested permissions and approve the connection.
  5. After approval, Zoom redirects you back to auraScribe Account settings.
  6. Confirm the Zoom card shows Connected.

Permissions auraScribe requests

During authorization, Zoom asks you to approve the following OAuth scopes. Each scope maps to a specific feature of the integration.

  • cloud_recording:read:list_user_recordings — list recent Zoom Cloud Recordings on your account so auraScribe can show and import them.
  • cloud_recording:read:recording — download the audio file and (when available) the Zoom-generated transcript for each recording you choose to import.
  • user:read:user — identify your Zoom user so auraScribe can link Zoom recordings and webhook events back to the right auraScribe account.
  • meeting:update:meeting — if you enable automatic cloud recording, ask Zoom to turn on cloud recording for meetings you host.
  • meeting:read:meeting — read scheduled and live meeting metadata to support proactive capture and bot fallback.
  • meeting:write — classic-app equivalent of meeting:update:meeting. Zoom returns whichever variant your installation is approved for; auraScribe requests both so the integration works under either approval state.
  • meeting:read — classic-app equivalent of meeting:read:meeting, same coexistence rationale.

Troubleshooting authorization

  • The Authorize button does nothing: a pop-up or redirect blocker may be active. Allow pop-ups for aurascribe.co and zoom.us, then try again.
  • "Invalid redirect URI" from Zoom: this usually indicates a mismatch between the Zoom Marketplace listing configuration and the auraScribe environment. Email contact@aurascribe.co so we can confirm the listing redirect URI.
  • You see a sign-in screen instead of an authorize screen: this is expected for users who are not yet signed in to auraScribe. Complete sign-in and the flow continues to the Zoom authorization screen automatically.
  • Connect Zoom still fails: sign out and back in to auraScribe, then try Connect Zoom again. If the problem persists, contact contact@aurascribe.co.

Usage

Cloud Recording import

After Zoom is connected, auraScribe can import completed Zoom Cloud Recordings from your account. Imported recordings appear in your auraScribe library and are processed through the same transcript, speaker, behavioural summary, and action-analysis pipeline as uploaded recordings.

  • Plan requirement: Zoom Pro or higher, with cloud recording enabled in your Zoom user settings.
  • Cloud Transcription: recommended but not required. When Zoom Cloud Transcription is enabled, transcripts arrive in your auraScribe library faster because they are pre-populated from Zoom's VTT.
  1. Host or record a Zoom meeting with Zoom Cloud Recording enabled.
  2. Wait for Zoom to finish processing the recording.
  3. Open Account settings in auraScribe.
  4. In the Zoom card, select Sync recent recordings if the recording has not appeared yet.

Audio-only imports: recordings without a Zoom transcript still appear in your auraScribe library. When Zoom Cloud Transcription is not enabled, or the transcript file is not yet ready, the recording is imported with status pending or unavailable. Open the recording and run analysis to transcribe it with auraScribe's own pipeline. Recordings that already have a Zoom transcript are pre-populated faster.

Sync windows: manual Sync looks back 7 days. A daily background reconciliation also picks up recordings completed in the last 36 hours, so most recordings appear automatically without manual action.

Proactive capture

If proactive capture is enabled, auraScribe asks Zoom to automatically start cloud recording for meetings you schedule and host. This uses the meeting:update:meeting scope. Completed recordings are imported after Zoom makes the audio (and, when enabled, the transcript) available.

When proactive capture cannot enable cloud recording for a given meeting — for example, when you are not the host of a non-recurring meeting, or your Zoom plan does not allow cloud recording for that meeting type — an auraScribe Notetaker bot may join the meeting as a fallback to capture audio. Bot fallback is opt-in and can be disabled at any time from Account settings.

Webhook events handled

auraScribe subscribes to a small set of Zoom webhook events. Each event has a specific, user-visible effect:

  • endpoint.url_validation — Zoom's one-time challenge that verifies auraScribe owns the webhook endpoint. No user-visible effect.
  • recording.completed — a new Zoom Cloud Recording is ready. auraScribe imports it into your library.
  • app_deauthorized — you removed auraScribe from your Zoom account. auraScribe deletes your stored OAuth tokens and the Zoom-user mapping (see Removing the App).
  • meeting.created — a new meeting is scheduled on your account. Used by proactive capture to decide whether to request cloud recording for that meeting.
  • meeting.started — a meeting you host has begun. Used as a trigger point for the bot fallback path when proactive capture cannot enable cloud recording.

Removing the App

Disconnect from auraScribe

  1. Go to aurascribe.co/app and sign in.
  2. Open Account settings.
  3. In the Integrations section, find Zoom.
  4. Select Disconnect and confirm.

Effect: auraScribe deletes the encrypted Zoom OAuth tokens and the Zoom-user lookup record used for webhooks. The webhook subscription becomes inactive for this user, so no new Zoom imports or proactive-capture actions occur. Existing recordings already in your auraScribe Library remain available.

Deauthorize from Zoom

  1. Sign in to the Zoom App Marketplace.
  2. Open Manage, then Installed Apps (also labelled Added Apps in some Zoom UI versions).
  3. Find auraScribe.
  4. Select Remove and confirm.

Effect: Zoom sends auraScribe an app_deauthorized webhook. auraScribe purges your OAuth tokens and Zoom-user mapping server-side automatically. The outcome is the same as disconnecting from auraScribe directly. Existing recordings already in your auraScribe Library remain available.

Data handling on removal

Deauthorization (from either direction) deletes the data auraScribe stores about the Zoom integration itself: your OAuth access and refresh tokens, and the Zoom-user mapping that links incoming webhooks to your auraScribe account. To delete the imported recordings themselves — including their audio, transcripts, summaries, and analyses — you must delete them from your auraScribe Library. This is independent of the Zoom integration and is not triggered by deauthorization.

Troubleshooting

  • Connect Zoom fails: sign out and back in to auraScribe, then try Connect Zoom again.
  • No recordings found: confirm the meeting was recorded to Zoom Cloud Recording, not only to a local file.
  • Recording is missing immediately after a meeting: wait for Zoom to finish processing the recording, then use Sync recent recordings. If the recording appears with no transcript, open it and run analysis to transcribe via auraScribe.
  • Automatic cloud recording is disabled: reconnect Zoom if auraScribe asks for updated permissions, and confirm your Zoom plan supports cloud recording.
